How to submit a claim

claim

Before you submit a claim, make sure you carefully read our claims policy for LTL/Home Delivery and Dedicated Fleet Solutions below or download a copy from dayross.com/guides. To avoid freight claims in the future, check our Tips page for freight labelling and packaging guidelines.

If your shipment is damaged, lost or is missing items, you can submit a claim online or complete a claim form and email it to our Claims Department.

Only claims submitted in writing will be taken into consideration.

LTL/Home Delivery Shipments

What to know about our liability

  • Day & Ross’ liability is restricted to $2.00/lb when no value is declared on the BOL at time of shipping.
  • When a declared value is shown, Day & Ross is liable for an amount up to the value declared, providing proper invoices are supplied to verify this value.
  • Day & Ross is liable only for the value of the goods at the time of shipping, excluding overhead expenses, lost profits, administration fees, etc.
  • All used goods and personal effects are shipped “At Shipper’s Risk” with no liability to Day & Ross for damages.

What to do at delivery

Check the shipment according to the Day & Ross Shipment/Freight Bill number, not the packing slip.

Explicitly note and sign for all damages or shortages on the driver’s handheld. The following notations are not acceptable and will not entitle you to file a claim:

  • Subject to inspection
  • Possible shortage
  • Possible damage

If you need a paper copy of the Additional Services Form (ASF) noting damages and/or shortages, you must ask the driver for one before they leave your site.

What to do if damage is concealed

Claims for concealed damage must be reported to Day & Ross within 24 hours. When concealed damage is noted, stop unpacking, notify us immediately and request an inspection. Continued unpacking of the shipment could disqualify your claim. Packaging must be retained for inspection by Day & Ross.

When to submit a claim

Damage claims must be filed within 60 days of the delivery date.

Shortage claims must be filed within:

  • 60 days if part of the shipment is lost
  • Nine months if the entire shipment is lost.

What documents to include

Include the following documents with your claim:

  • Original supplier’s invoice showing the value of the shipment
  • Original Bill of Lading (BOL)
  • Final Proof of Delivery (POD)
  • Itemized invoice outlining loss or damage to the shipment

What to do with salvage

Retain your salvage until your claim is processed. If your claim is paid, you must hand over the salvage to Day & Ross.
